Product Enhancements

Platform adjustments
We have made some adjustments to various features in the platform:

  • New Settings tab in the left-hand platform menu - for Admins only
  • Badges, Certificates and Points have been moved from Program Admin into the new Settings tab
  • Email Sent Logs have been moved into Programs (Emails sent from that program only) and the new Settings tab (All sent emails)
  • Theme settings have been moved into the new Settings tab
  • The Sales & Orders default view is now Sales, rather than Draft Sales Orders
  • Deep Linking - we have developed the ability to create links that take enrolled learners to specific points in the program, including Pages, Sections, Sessions, and Tasks. In Learn view, navigate to where you want to link the Learner to, copy the URL, and share.

 

Settings

Platform Admins can now access Platform settings, which were previously reserved for Guroo Team members, and we have moved some features into this tab from other areas of the platform, including Badge, Points and Certificates. This tab also contains the new Communications centre. This Settings tab is available for Platform Admins in the left-hand Platform menu. This tab is split into 3 categories: Platform, Communications, Marketing and Business

Platform

The Platform tab contains your Platform settings:

Platform Overview

  • Details - Platform title, URL and Business and Operating Model
    • Usage and Limits - Your platforms usage and limiust as outlined by your agreement with Guroo
    • Features - the features enabled based on your business and operating model
  • Themes - Your portals themes, incluidng colours and fonts used across the platform and emails
  • Badges and Points
  • All Badges - Create and edit badges, previously in Program Admin
  • Badge Settings - Badge configuration settings
  • Points - Points settings including title, description and levels
  • Certificates - Certificate templates, previously in Program Admin
  • Apps and Integrations - Outlines your conencted apps, such as Zoom, Credly etc, and Available Apps which you can connect if you have an account

Communications

The Communications centre is home to all platform communications. It consists of Emails & Notifications, Banner Announcements and Communications Settings.

Emails & Notifications
The Emails & Notifications tab contains all the templates for Emails sent by Academy. These templates now live in tables split into 3 categories:

  • Automatic Emails - System-wide emails such as password resets, registration confirmations, and points claim notifications. These templates can only be edited in the Settings tab, and edits will apply platform-wide, as these emails are not triggered by specific programs, they are triggered by Platform actions.
  • Platform Templates - Emails that are related to programs, but are triggered by actions elsewhere in the platform. Catalogue, Enquiries and Finance emails live here. These emails are the automated templates, but some can also be customised on a program-by-program basis through the Emails tab in the Program Settings.
  • Program Templates - Emails that are triggered by program actions. These include Enrolment emails, Completion emails, Assessment notifications, Social Learning and Reminders. These emails are the automated templates, but can be customised on a program-by-program basis through the emails tab in the Program Settings.

These templates can be edited, but any changes will apply to all programs that use them across the entire platform. Customised emails will not be affected by changes to the templates. You can now also edit the delivery mode of these emails; you can choose to send them as emails & on-platform notifications, just as emails, or just as on-platform notifications.

Also in the Emails & Notifications tab is the Notifications Activity Log. The Notifications Activity Log replaces the Email Sent Log, which previously lived in the Reports tab. This is a log of all communications sent to Users. It is presented as a filterable table so you can filter by specific User, Program and Subject. This table includes both Emails and Notifications sent to Users. It also has a  column for the email sent status, so you can see if the User has received it, whether it is in the queue, or whether they have unsubscribed from this type of email and therefore have not received it; notifications cannot be unsubscribed from.
There is a smaller version of this log in each program, where Program Team Members can see the communications sent from that specific program.

Banner Announcements

The Banner Announcements tab is where you can create Banners that are visible to Users upon login. You have the option to make them dismissable, and to set them up so they are only visible to specific user groups.

Settings

The settings tab is where you can edit your platform Email From Name and Reply to Address in the Email Layout Settings tab. All emails sent from Academy are from noreply@guroolearning.com and your chosen Email From Name, and any responses to these emails will go to your Reply to Address.

Unsubscribe Settings

The Unsubscribe Settings are where you specify which email categories are considered Essential and mandatory to receive, and which are non-essential and therefore allow Users to unsubscribe. The Platform and Program Essentials categories are always mandatory; all other categories can have their status customised. These decisions apply to all of these emails across the platform, you cannot change these on a program-by-program basis.

Marketing & Business

This section contains Google Tag Manager, Tracking Code Snippets, Adobe Analytics and Trackers. These features can be used to track User behaviour and support analytics, marketing, and advertising.
