Settings - Communications

Overview of the Communications section in Settings, covering email and notification management, banner announcements, and email layout configuration.

The Communications section in Settings is where you manage how your platform communicates with learners and administrators. From here, you can view and configure automated emails and notifications, manage the templates used across programs, monitor notification delivery, create platform-wide banner announcements, and control email layout and unsubscribe behaviour.

To access Communications, navigate to Settings from the main left navigation menu. The Communications group contains three sections: Emails & Notifications, Banner Announcements, and Settings.

 

Emails & Notifications

Emails & Notifications is where you manage the templates and settings of all outgoing communications from your platform. It is divided into four pages accessible via the sub-navigation.

Automatic Emails

Automatic Emails lists the system-wide notifications your platform sends automatically — things like password resets, account confirmations, and platform registration emails. These notifications apply to all users and are triggered by system events, not by admin action.

You can use the filter controls to narrow the list by category, receiver type, or delivery mode. Each notification shows the event that triggers it, how it is delivered (email, platform notification, or both), who receives it, and which unsubscribe category it belongs to. 

Platform Templates

Platform Templates lists the notification templates that are used by Platform Emails, that is, emails that are sent from a platform level and are, independent of, but may relate to, specific programs. These include emails associated with enquiries and financial transactions. Any changes to these templates will be platform-wide, as many of these emails can only be altered by editing the templates.

You can filter the list by category, receiver type, or delivery mode, just as you can with Automatic Emails. 

Program Templates

Program Templates lists the default notification templates that apply specifically to program-level events — enrolments, completions, facilitator messages, and similar. Like Platform Templates, these are inherited by individual programs and can be overridden at the program level during setup. 

All email templates can be edited by clicking the three dots next to each email and selecting Edit. Any changes you make to the content or delivery mode will be made platform-wide to all programs that use the Template emails. Programs which have customised their emails will not be affected.


Notifications Activity Log

The Notifications Activity Log gives you a delivery record for all notifications and emails sent from your platform. Each row shows the recipient's name and email address, the notification/email subject, its category, how it was delivered, which program it belongs to (if any), and a full set of status timestamps — including when the email was sent, first opened, and last opened, and when the in-platform notification was first and last read.

Use the filters to narrow the log by delivery mode or time period.

Banner Announcements lets you create and manage platform-wide banner messages that appear to users when they log in. Each announcement shows the banner title, which audience it is targeted to, the date it was created, whether users can dismiss it, and its current status.

Select Create Announcement to add a new banner. You can search the list by title, and select the three dots next to any announcement to edit or delete it.

Settings

The Settings section contains two configuration pages for controlling how emails are formatted and which categories learners can opt out of.

Email Layout Settings

Email Layout Settings lets you configure two fields that affect all outgoing emails from your platform:

  • Email From Name — the sender name that appears in a recipient's inbox when they receive a platform email.
  • Reply To Address — the email address that replies are directed to. Note that outgoing emails are sent from noreply@guroolearning.com regardless of this setting; this field controls only where replies land.
