Email Unsubscribe Settings

How platform admins control which email categories are mandatory, and how learners and team members manage their own email preferences.

Email preferences in Guroo Academy work across three levels. Platform admins control which categories are mandatory using Unsubscribe Settings. Learners and team members can then adjust their own preferences — for platform emails through their profile, and for each program separately within that program.

Platform Unsubscribe Settings

Unsubscribe Settings lets you control which email categories are mandatory on your platform — meaning learners cannot opt out of receiving them. Categories you don't mark as required can be unsubscribed from by learners through their own notification preferences.

To access Unsubscribe Settings, navigate to Settings from the main left navigation menu and select Unsubscribe Settings under Communications. This tab is only available to Admins, and any changes made will apply platform-wide. You cannot customise unsubscribe requirements on a program by program basis.

Notifications Centre: Even when a learner unsubscribes from an email category, they will still receive those notifications in their Notifications Centre — unless the individual email category is configured to suppress in-app notifications as well.

Platform Emails

Platform Emails relate to account and platform-level communications. Use the tick boxes to mark any category as required — learners will not be able to unsubscribe from required categories.

  • Platform Essentials - Required
    Essential emails for account security, authentication, and password management. Always sent to learners regardless of their preferences.
  • Platform Updates - Customisable
    General platform updates and non-essential administrative emails.
  • Enquiries - Customisable
    Notifications about enquiry submissions, responses, and updates throughout the enquiry process.
  • Community Engagement - Customisable
    Notifications about community events, peer activities, and engagement opportunities within the platform.
  • Finance - Customisable
    Notifications about financial matters, transactions, and related activities.

Program Emails

Program Emails relate to a learner's participation in programs. As with Platform Emails, enabling the tick boxes marks that category as required.

  • Program Essentials - Required
    Important program emails including enrolments, completions, and assessment results. Always sent to learners regardless of their preferences.
  • Program Updates - Customisable
    General announcements and updates about changes or news within a program.
  • Social Learning - Customisable
    Notifications about comments, reactions, and discussions in the program community.
  • Nudges - Customisable
    Friendly reminders from facilitators to help learners stay on track.
  • Tasks - Customisable
    Notifications about task submissions, assessments, feedback, and completion status.
  • Due Dates - Customisable
    Reminders about upcoming and overdue deadlines for programs and tasks.
  • Session Reminders - Customisable
    Alerts about upcoming live sessions, webinars, and scheduled program events.
  • Applications - Customisable
    Updates about program applications, from submission through to approval or decision.
  • Reports - Customisable
    Periodic summaries and reports about learner progress.

 

User Profile — Settings & Email Notifications

Learners and team members manage their own platform email preferences from their user profile. This is where the categories configured in Unsubscribe Settings come into effect: any category marked as required will appear greyed out and cannot be changed by the user.

To access this page, select your profile avatar in the top right corner, navigate to My Profile, and select Settings & Email Notifications from the left-hand menu.

The page lists all platform email categories with a checkbox for each. Categories that your platform has marked as required are locked — the checkbox is greyed out and cannot be unchecked. Categories that are optional can be checked or unchecked freely.

The page also includes a note reminding users that program emails are managed separately: "You can manage emails from your programs separately in each program's settings."

Program-level email preferences

Each program has its own Email Preferences page where team members and learners can control which email categories they receive for that program. These preferences apply only to that specific program and are managed independently from the platform settings above.

The categories available differ depending on the user's role. Team members see a different set of categories from learners, reflecting the different types of notifications each role receives.

Any category marked as required in the Platform Unsubscribe Settings will also be locked in the program-level preferences view.

Team Member View

Team members access Email Preferences from inside the program's Deliver tab. Navigate to Emails & Notifications in the left-hand menu and select Preferences.

  • Program Essentials — important program emails including enrolments, completions, and assessment results. This category is always on and cannot be unsubscribed from.
  • Program Updates — general announcements and updates about changes or news within the program.
  • Social Learning — notifications about comments, reactions, and discussions in the program community.
  • Tasks — notifications about task submissions, assessments, feedback, and completion status.
  • Session Reminders — alerts about upcoming live sessions, webinars, and scheduled program events.
  • Applications — updates about program applications, from submission through to approval or decision.
  • Reports — periodic summaries and reports about learner progress.

Select or deselect the checkbox next to any category to update the preference. Select Unsubscribe from All to opt out of all categories that allow it in one step.

Learner View

Learners can always access Email Preferences from inside the program's Learn tab. They will navigate to Program Preferences in the left-hand menu and select Email Preferences. If enabled, they can also select their preferences during their Program Onboarding.
