Our October 2025 release includes an exciting range of updates which will streamline your workflow, enhance security, and create an even better experience for your learners. Key features include enhanced program management with new team roles, improved file upload/viewing experience, streamlined learner profiles, verification for change of email address, updates to sections and sessions, and enhanced group management.
New team roles
You'll have much more control over who can access what within your programs, following security best practices to protect your data.
Whether you're working with subject matter experts who need to build content, guest facilitators who assist with delivery, or team members who need limited access, you'll be able to give each person exactly the right level of access for their role. This means better security, clearer responsibilities, and more streamlined program management.
We've introduced four default team roles, each with their own preset, and customisable, permissions:
- Coordinator
- Facilitator
- Learning Designer
- Guest Facilitator

Improved file upload/viewing
The Academy file uploader/viewer has been updated to a native system, rather than the third party provider we were previously using.
This replacement has been made in order to:
- Improve the usability and viewing experience for uploaded documents
- Reduce Academy's reliance on a third-party provider
- Reduce the likelihood of end users being unable to view uploaded documents because the third-party provider viewer is blocked by browser, network or security settings

Streamlined learner profiles
We've redesigned our User Profile from a dialogue display to a full screen layout. This new screen is accessible either under the new ‘My Profile’ tab in the platform Home page, and via the users' icon in the top right hand corner. Existing tabs have been moved into a left hand menu under a submenu structure.

Administrators can access User's profiles through User Admin or a program Class List, these profiles will open in a similar full page layout, as opposed to the previous dialogue view. This page will include the tabs previously available in the dialogue view.

Change of email address
We've introduced a feature to allow users to change their own email addresses. This feature can be enabled or disabled for a platform, depending on email requirements (for example, Single Sign On).
The Change Email Address tab is available via the User profile. Once submitted, a verification email will be sent to the new address, the user will need to accept the verification link before their profile is updated.

The feature will follow the same process when an administrator changes a user's email address.
Updates to Sections and Sessions
We have separated Sections and Sessions when building/editing a program.
- Sections now consist of two options:
- Self Paced - participants complete the content in these sections in their own time
- Due Date - participants are given a due date by which they need to complete the activities and tasks in the section
- Sessions consist of four options:
- Virtual Session - participants attend a virtual session
- In Person Session - participants attend a face-to-face session
- Hybrid Session - participants can attend this session either online or face-to-face
- Group Session - having been divided into groups, participants must attend one of multiple group sessions at a specific date and time.

Enhanced group management
Our new group management system allows you to control Groups and their Sessions from the Manage Cohort tab of the Deliver view.
All new Academy programs will now include one pre-existing Group type, ready to have its groups added, and learners assigned.

Simplified enrolment actions
We've redesigned our enrolment actions, you can now update a participant's enrolment status in the Class List by clicking the three dots next to their name, rather than through their User Profile.
