About the Program Sponsor Role

The Program Sponsor role is designed for in-house and custom B2B programs. This role provides your business and enterprise customers with real-time visibility and self-service tools to manage their participants and drive engagement within their organisation.

You can assign the Sponsor role to both high-level sponsors (decision-makers who need oversight and reporting) and customer administrators (who need day-to-day management capabilities). Each sponsor can be granted different levels of access, allowing you to differentiate between stakeholder needs whilst reducing your operational workload.

The Program Sponsor role helps you deliver transparency and accountability to sponsors and administrators, whilst reducing the time you spend on manual reporting, spreadsheet updates and email responses.

 

 

Setting Up The Customer Organisation

Before you start adding sponsors to your programs, you will need to set up each customer organisation as an entity in Academy. 

Click the Entities tab on the left-hand panel, then Add Customer

You will be prompted to add the name of the customer organisation, along with a code for reporting purposes. 

Under the Customer Settings tab, you can assign email domains to your customer. This means that any enrolments with this email domain will be automatically assigned to the customer. This includes past and future enrolments. You can also assign individual users to a customer entity via their user profile. 

If you use the Enquiries feature on your platform, you can also assign a default support agent. This means all new support enquiries related to this customer will be assigned to this agent. 

 

 

Linking the Program to the Customer

Once you have created the Customer entity, you can link any in-house or custom programs to that customer.

To add a customer to a program, open the program from Program Admin and navigate to Program Settings. In the bottom right corner, you can select the relevant customer entity. 

 

Assigning the Sponsor Role

The Sponsor role is available on any in-house or custom program assigned to a customer organisation. To be added as a sponsor on a program, the user must first be assigned to the same Customer entity. This can be managed via the user profile. 

To assign a sponsor, open the program from Program Admin and go to Deliver view.

Select the Sponsors tab under the Class List, then click Add Sponsor. 

Start adding the sponsor's details, then select the relevant result. If the sponsor does not appear, please check that they are assigned to the correct customer entity. You can choose whether or not you would like the sponsor to 

Customising Sponsor Permissions

You have complete control over what sponsors can access. Permissions can vary by user and by program, allowing you to create the exact customer experience you need for each situation.

The permissions available to sponsors are organised into three main areas: Program Delivery, Communication and Reports & Analytics.

Program Delivery
View Class List Sponsors can access the class list to see the full list of learners and their progress.
Access Learner Transcript When enabled, sponsors can view participants' learning transcripts and history, including completed activities, assessment results and overall progress.
Manage Enrolments Sponsors with this permission can add and remove learners from the program, giving them self-service control over their organisation's participation.
Manage Applications If your program requires learners to apply prior to enrolment, sponsors can review and approve applications from their organisation.
Monitor and Nudge Learners Sponsors can monitor at-risk learners who are falling behind and send them nudges to drive engagement. A "nudge" sends an email prompt to encourage learners to log in and continue with their program.
View Coaching Material If manager-led coaching is enabled in your program, sponsors can access the coach guides that are available to managers.
Communication
View Task Feed & Comment When enabled, sponsors can review the task feed and add comments and encouragement to support learner progress.
Add Posts & Announcements Sponsors can create posts and announcements to communicate with learners.
Reports & Analytics
Learning Progress Dashboard The Learning Progress Dashboard provides an overview of learner engagement, completion rates and overall program progress.
Digital Experience Report This report shows how learners are engaging with the digital learning content, including knowledge gap reporting to identify areas where additional support may be needed.
Diagnostic Results When diagnostics are included in your program, sponsors can access diagnostic results and benchmarking data to understand capability levels and progress.
Assessment Results Sponsors can view assessment reports to understand learner performance and identify any areas of concern.
Session Attendance This report shows attendance data for facilitated sessions, helping sponsors monitor engagement levels.
Evaluations

Once you have reviewed and released program evaluations, sponsors can access learner feedback to understand satisfaction and areas for improvement.

You can view and manage sponsor permissions at any time via the user profile.
