The Calendar provides facilitators and coordinators with a centralised view of all scheduled sessions in a program. From here, you can review upcoming and past sessions, join virtual sessions, view session details, and mark learner attendance.
Accessing the Calendar
To access the Calendar, navigate to your program in Deliver view. Select Calendar from the left-hand menu. This will open the Program Schedule.

The Program Schedule displays sessions grouped by date, showing the program’s timezone below the page heading. A Print button is available at the top right if you need a printed copy of the schedule.
Use the filter tabs at the top of the schedule to view different types of content:
- All: displays all schedule items, including sessions and task due dates.
- Sessions: shows only the sessions scheduled in the program.
- My Sessions: shows only sessions where you are assigned as a facilitator.
- Due Dates: shows only task and assessment due dates.
Understanding the Program Schedule

Each session card displays the following information:
- Time: the scheduled start and end time for the session.
- Session name: the title of the session as set up by the program administrator.
- Session type: either Virtual Session, In-Person Session, Face-to-Face Session, or Hybrid Session.
- Meeting link or location: for virtual and hybrid sessions, the meeting link is displayed. For in-person sessions, the venue name is shown.
- Facilitator(s): the name(s) of the facilitator(s) assigned to the session.
Sessions marked with a Flexible Attendance badge indicate that learners who cannot attend in real time will be required to watch an uploaded video recording of the session before it is marked as complete.
For upcoming or current virtual and hybrid sessions, a Join Session button will appear on the session card. Clicking Join Session will open the meeting link associated with the session in a new browser tab.
Viewing Session Details

To view the full details of a session, click directly on the session card. This opens the Session Details panel,
which displays:
- Session description: the overview or agenda for the session.
- Date and time: the scheduled date and time of the session.
- Attendance information: details of the attendance requirement for the session.
- Session type and link or location: whether the session is virtual or in-person, including the meeting link or venue address.
- Facilitators: the facilitator(s) assigned to the session.
Click Open in Learning Plan to navigate to the session within the program’s learning plan, where you can view the full session page including any associated resources.
Marking Attendance
Once a session has taken place, a Mark Attendance button will appear on the session card in place of the Join Session button. This allows you to record which learners attended the session.
To mark attendance for a session:
- Navigate to the Calendar in the left-hand menu.
- Locate the past session you wish to update. Past sessions will display a Mark Attendance button on the session card.
- Click Mark Attendance. This will open the attendance view for the session, displaying a list of all enrolled learners.
- For each learner, select their attendance status — Attended or Did Not Attend.
- Once you have updated all learners, save your changes to confirm the attendance record.
For sessions with Flexible Attendance enabled, learners who are marked as Did Not Attend will be required to watch the uploaded session recording before the session can be marked as complete for them.
My Sessions
The My Sessions tab filters the Program Schedule to show only the sessions where you are assigned as a facilitator. This is useful in larger programs with many sessions across multiple facilitators.
